Competition Entry

This section is here to show you how to enter the troop into a competition should you be asked and you are a little unsure. Please see the sections below for further explanations, and then finally the step by step guide on what to do. If you are in charge of a competition then you will need to ensure that everything is handled from A – B.

Entry Form

The first thing you will need to do is download the Competition Entry Form as this is used to enter the following competitions:
– Rayner Trophy
– Upton Shield
– Gordon Shield
– Orienteering
– Quinn Trophy

The following competitions have their own entry forms which will be published closer to the time as they have a habit of changing.
– Kontiki
– Beaver Rose
– Seamanship

Competition Information

All information about the upcoming competitions can be found on the Competitions Page on the Western Cape Website. Here you will find the following:
– Name of Competition
– Cost per Team
– Closing Date for Entries
– Chief Judge Email
– Competition Dates

You must ensure that you read this incredibly carefully so as to ensure that your entry is in before the closing date. If it is not then you lose points and you will then need to answer to the Scouts, so good luck.

Competition Payment

In order to pay for the competition entry fee you will need to contact the 2nd Bergvliet Treasurer, Neil Shelly, at 2ndbergvlietfin@gmail.com. He will then ensure that payment is made. It is important to note where the payment must be made to depending on the competition. Below is each competition under the payment recipient:

Western Cape HQ
– Rayner Trophy
– Upton Shield
– Gordon Shield
– Orienteering
– Quinn Trophy

Sea Scout Base
– Kontiki
– Seamanship

Two Oceans District
– Beaver Rose

Once the payment is made you must ask the Treasurer for the Proof of Payment and you can then send that, along with the Entry Form to whomever needs to receive it. Competitions listed on the Competition Information Form get sent to Eleanor Brown at WC HQ, while the others get sent to various people. Ensure you read the instructions carefully.

Competition Application

The scouts will apply for all the various competitions via the Competition Sign Up option on the 2nd Bergvliet Website. Here you will see that we have our own internal closing dates so that we can ensure that everything is ready by the time it is needed. Once all entries are in we will sift through the names and then select the teams. From here they will then be published at the bottom of the sign up page so that all involved know who they are and who their Patrol Leader is etc.

Should you want access to the raw Google Form data then please contact me and will add you to the lists.

Competition Communication

Once all entries are in and the teams made we send emails to the various teams which then allows them to join a Team WhatsApp group for any and all updates and so that arrangements can be made for lifts etc. If you have any questions on this point please do not hesitate to ask.

Step By Step Summary

Please follow the steps below as a summary of the above to enter a competition:
1) Generate interest and point scouts towards the sign up page
2) Ensure that the competition entry form is submitted to the relevant administrator
3) Ensure that payment is made and POP sent to relevant relevant administrator
4) Pull applications and sort into teams with Patrol Leader input
5) Once teams selected you can create WhatsApp Groups for communication
6) Have team lists published on site
7) Ensure teams are always up to date on what is happening
